Strategese processes personal data about you because you use our website, because you engage our services, or because you provide this data to us yourself. We value your privacy and explain below as clearly as possible how we collect, use, and protect your data.

  • Email correspondence: your name, email address, and the content of your messages when you contact us at hello@strategese.com.
  • Proposals and contracts: your name, email address, business name, and any other information required to formulate a proposal or execute a consulting agreement.
  • Payment and invoicing: your name, business name, address, and bank details as required for invoicing purposes.
  • Client project materials: brand assets, analytics access credentials, strategy documents, stakeholder information, and any other materials you provide in the course of an engagement. These are processed solely for the purpose of delivering the agreed services.

3. Purposes and Legal Basis for Processing

Strategese processes your personal data for the following purposes:

To respond to your enquiry. When you submit a contact form or send an email, we process your data to respond to your question and assess whether we can help. Legal basis: legitimate interest (Art. 6(1)(f) GDPR).

To prepare and deliver our services. When you engage Strategese for a consulting project, we process your data to prepare proposals, execute the engagement, deliver services, and communicate with you during the project. Legal basis: performance of a contract (Art. 6(1)(b) GDPR).

To invoice and process payments. We process your data to send invoices and process payments for our services. Legal basis: performance of a contract (Art. 6(1)(b) GDPR) and legal obligation (Art. 6(1)(c) GDPR) for tax and accounting requirements.

To improve our website. We use analytics data to understand how visitors use our website and to improve its functionality and content. Legal basis: legitimate interest (Art. 6(1)(f) GDPR).

To showcase our work. With your permission, or as set out in our Terms and Conditions, we may use information about our engagement to create case studies or list you as a client. Legal basis: legitimate interest (Art. 6(1)(f) GDPR) or consent (Art. 6(1)(a) GDPR).

Strategese does not sell, trade, or rent your personal data to third parties. We may share your data with the following categories of third parties, solely for the purposes described in this policy:

  • Website hosting: Webflow, Inc. (hosts www.strategese.com). Webflow processes data in accordance with their privacy policy and Data Processing Agreement.
  • Analytics: Google Analytics (or equivalent analytics tool) to analyse website traffic. Data is anonymised where possible.
  • Email: Google Workspace (or equivalent email provider) for email communication.
  • Invoicing and accounting: invoicing software and/or accountant as required for financial administration and tax compliance.
  • Subcontractors: where third-party specialists (e.g., designers, developers, photographers) are engaged for the execution of a client engagement, relevant project information may be shared with them under confidentiality obligations.

We will never share personal data with third parties for marketing purposes. Where data is transferred outside the European Economic Area (EEA), we ensure appropriate safeguards are in place in accordance with the GDPR, such as Standard Contractual Clauses.

5. Cookies

A cookie is a small text file that is stored in the browser of your computer, tablet, or smartphone when you visit our website. Strategese uses the following types of cookies:

Functional cookies. These cookies ensure that the website works properly and can remember your preferred settings. These are necessary for the website to function and do not require consent.

Strategese takes the protection of your data seriously and implements appropriate technical and organisational measures to prevent misuse, loss, unauthorised access, unwanted disclosure, and unauthorised modification. Where we engage third-party processors, we ensure appropriate data processing agreements are in place that prioritise the security of personal data.

In the event of a data breach that is likely to result in a risk to your rights and freedoms, we will report it to the Dutch Data Protection Authority (Autoriteit Persoonsgegevens) within 72 hours, as required by law. We will also inform affected individuals without undue delay where required.

8. Retention Period

We retain your personal data only for as long as is necessary for the purposes for which it was collected, or as required by law:

  • Contact form submissions and general enquiries: retained for up to one (1) year after your last contact, unless an engagement follows.
  • Client project data: retained for up to five (5) years after the completion of the engagement, in line with the Dutch statutory retention period for business administration.
  • Invoicing and financial data: retained for seven (7) years, as required by Dutch tax law (Belastingdienst).
  • Website analytics data: retained in accordance with the retention settings of the analytics provider (e.g., Google Analytics default: 14 months).

After the applicable retention period, your personal data will be deleted or anonymised. If you would like to request early deletion, please contact us (see Section 10).
